    If you’re planning to study in South Africa or abroad in 2025, applying for a study permit (also called a student visa) is a key part of your journey. Without the correct documentation, your application could be delayed or rejected.

    This guide provides a comprehensive checklist of the documents you’ll need to prepare for a smooth application process.

    1. Valid Passport

    You must have a valid passport with at least two blank pages and an expiry date that extends at least 30 days beyond the end of your intended stay. If your passport is close to expiring, renew it before applying for a study permit.

    2. Completed Study Permit Application Form

    Most countries require you to complete a specific application form for a study permit. For example, South Africa uses the DHA-1738 form. Ensure that the form is fully completed, signed, and dated. Incomplete forms are one of the most common reasons for delays.

    3. Letter of Acceptance from an Accredited Institution

    You need an official letter of acceptance from a registered or accredited educational institution. The letter should:

    • Be on the institution’s letterhead.
    • Include your name, course title, and duration of the program.
    • Confirm your registration or provisional acceptance.

    4. Proof of Financial Means

    To prove you can support yourself while studying, you’ll need to show financial evidence such as:

    • Recent bank statements.
    • A bursary or scholarship award letter (if applicable).
    • A letter of financial support from a sponsor or parent, accompanied by their bank statements.
      Most countries have a minimum monthly amount you must show you can afford—for example, South Africa requires proof of at least R3,000 per month for living expenses.

    5. Proof of Medical Insurance

    You’ll need valid medical or health insurance that covers you for the duration of your stay. In South Africa, this must be from a registered South African medical scheme. In other countries, private international health insurance is often accepted.

    6. Medical and Radiological Reports

    Some countries (including South Africa) require a recent medical report and radiological (chest X-ray) report. These reports should be completed by a registered medical practitioner and dated within six months of your application.

    7. Police Clearance Certificate

    Applicants over the age of 18 are usually required to provide a police clearance certificate from every country they’ve lived in for more than 12 months in the past 10 years. This proves you have no criminal record.

    8. Proof of Accommodation

    You may be asked to submit proof of where you will stay during your studies. This can include:

    • A signed lease or rental agreement.
    • A university residence confirmation letter.
    • A letter from a host if staying with family or friends, along with their ID and proof of residence.

    9. Proof of Payment for Application Fees

    Study permit applications often carry a processing fee. You’ll need to provide a receipt or bank slip showing the payment was made. Double-check the fee with the embassy or consulate, as it may change in 2025.

    10. Passport Photos

    You’ll typically need two to four recent passport-sized colour photos. These must meet specific size and background requirements depending on the country.

    • Translations: Any documents not in English (or the official language of the country you’re applying to) must be accompanied by certified translations.

    • Study Permit Renewals: If you’re renewing a study permit, include your academic transcripts, attendance records, and a letter of good standing from your institution.

    • Keep both physical and digital copies of every document for your records.
