Key Responsibilities
As an Administration Officer in Supply Chain Management, your key performance responsibilities will include:
- Request for Quotation/Tender Process: Assist with managing the entire process, ensuring compliance with all procedures and regulations.
- Terms of Reference & Briefing/Site Inspections: Assist with the creation of clear and concise terms of reference, and organize briefing and site inspection processes.
- Tender Evaluation Process: Provide support in evaluating tenders to ensure that all requirements are met and that the process is transparent.
- Purchase Orders and Invoice Processing: Assist with generating purchase orders and processing invoices in a timely and accurate manner.
- Governance, Risk, and Compliance: Assist in managing the governance, risk, and compliance aspects of the supply chain management process to ensure all actions adhere to relevant standards and regulations.
Requirements and Qualifications
Candidates must meet the following requirements:
- Minimum Education: A National Diploma in Supply Chain Management, Logistics, or a related qualification at NQF Level 6, with at least 4 years of relevant work experience. Alternatively, a degree in Supply Chain Management, Logistics, or a similar qualification at NQF Level 7 with 2 years of relevant work experience is also acceptable.
- Postgraduate Qualification: A postgraduate qualification in Supply Chain Management, Logistics, or a related field at NQF Level 8 is an advantage.
Competencies Required:
To excel in this role, the candidate should have:
- In-depth Knowledge: A strong understanding of Supply Chain Management legislation, policies, procedures, systems, and frameworks is essential.
- Procurement Systems Experience: Some experience working with procurement systems would be a bonus.
- Knowledge of Public Finance Management Act (PFMA): An understanding of PFMA, Treasury Regulations, and Generally Recognized Accounting Practices (GRAP) is vital.
- Problem-Solving Skills: Strong skills in planning, organizing, and problem-solving to manage supply chain tasks efficiently.
- Communication Skills: Excellent verbal and written communication skills are essential, along with strong interpersonal abilities.
- Technical Skills: High proficiency in MS Word, MS Excel, PowerPoint, MS Project, Outlook, and internet navigation.
